Configuring the Visitor management app

Setting your workspace to work with visitors

Step 1. Access the Visitor Policies settings

To configure your visitor policies, navigate to the Settings section, then select Visitor, and then General.

Step 2. Configuring your Visit Types

Visit types allow you to categorize different types of visits. These categories can be useful when creating a visit. To add a visit type:

  • Click on the "Add a Visit Type" button.

  • Enter the name of the visit type

  • Add instructions if desired, this will be displayed after the visitor checks in

  • Make this visit type anonymous: Enable this option if you want visitors to sign in anonymously. When enabled, the visitor’s information will not be recorded in the system.

  • Badge: Select the badge you’d like to be printed when the visitor checks in. To use badges, you must first set them up and connect a printer. You can refer to this article for more information.

  • Customize the form fields for your visit type as needed.

  • Specify whether a picture of the visitor is required.

  • Select a document to assign to this visit type. If assigned, visitors will be required to sign it. This is commonly used for documents such as NDAs.

  • Once you're done, click Confirm to save your changes.

Step 3. Configuring your visitor Check-In Policies

In Here, you can set the timeframe within which visitors can check in before their scheduled visit.

  • Set the desired time limit.

  • Enable the "Allow Only Physical Check-In" option if you want to restrict visitors to checking in using the QR code provided in their emails. If this option is unchecked, visitors will have the flexibility to check in via the link provided in their email.

Step 4. Configuring your Visitor Check-out Policies

  • Enable "Allow self check-out" if you want to allow the visits to check out

  • Enable "Activate auto check-out" if you want to mark your visits as checked out automatically

Step 5. Enabling your app to work with Deliveries

  • Navigate to the Settings section, then select Apps, click Visitors.

  • Click the "Enable Deliveries" button to allow deliveries to be registered in your Visitors app.

  • Here, you have two options for managing deliveries:

    • Select "Let the delivery person search a user to notify" to enable a search field for locating a specific user when registering the delivery.

    • Select "Automatically notify preselected list of admins" to notify admins as soon as the delivery is registered.

    • To add admins, click the "Admins to the list" field and start adding their details.

  • Once ready, click Save
